Privacy Policy

NiceFound is a hiring platform that connects job seekers with employers. This policy explains what personal information we collect, why, who it is shared with, and the choices you have. It applies to the NiceFound website and installable web app.

1. Information we collect

What we hold depends on how you use NiceFound.

  • Account details: name, email address, phone number and a hashed password, or the identifier returned by Google, Microsoft or LinkedIn if you sign in with them.
  • Candidate profile: work history, education, skills, career preferences, expected pay, location, profile photo, résumés you upload or build, and an optional public profile page.
  • Applications and activity: jobs you apply to, save or are invited to, assessments and coding assignments, interview scheduling, and messages exchanged with employers.
  • Employer details: company information, team members you invite, job posts, notes and stage changes on candidates, and billing details and invoices.
  • Technical data: IP address, browser and device type, and request logs used to keep the service secure and to diagnose faults. Request logs are kept for 7 days by default; an administrator can change this period.

2. How we use it

  • To run your account, show you jobs, and let employers receive and manage your applications.
  • To match candidates and jobs: we compute match scores and recommendations from profile and job data.
  • To send emails and notifications about your account, applications, interviews, billing and, where you have enabled them, job alerts.
  • To keep the platform safe: authentication, rate limiting, abuse prevention and scanning uploaded files for malware.
  • To improve the product and to meet legal obligations such as tax and accounting records.

3. Automated processing and AI

Some features use AI services, for example reading a résumé to pre-fill your profile or suggesting wording for a summary or job post. Only the content needed for the feature is sent. Match scores are a ranking aid for employers and candidates; employers, not NiceFound, make hiring decisions. AI output can be wrong, so please review it before you use it.

4. Who can see your information

  • Employers you apply to, or who you choose to be visible to, see your application and the profile fields allowed by your visibility settings. Expected pay is never shown on a public profile.
  • A public profile page is visible to anyone, including search engines, only if you publish it. You can unpublish it at any time.
  • Candidates see an employer's company profile and job posts. Team members of an employer see what their role permits.
  • We do not sell personal information.

5. Service providers

We use trusted providers to operate NiceFound. They process data only on our behalf and for these purposes:

  • Hosting and file storage (a cloud server provider and Amazon S3 for uploaded files).
  • Email delivery for account and notification emails.
  • Razorpay for payments. Card and bank details are entered with Razorpay.
  • Google, Microsoft and LinkedIn for optional sign-in, and Google for AI features and web fonts. Loading fonts shares your IP address with Google.
  • Google Analytics, used in production to understand which pages are used and how the site performs.
  • Malware scanning of uploaded files.

6. Cookies and local storage

NiceFound sets a first-party sign-in cookie. It is HttpOnly, is marked Secure on the live site, and expires after one day. It is needed to keep you signed in. We also keep small preferences in your browser storage, such as a remembered filter or a draft. In production, Google Analytics sets its own cookies (such as _ga) and receives page-view and device, browser and approximate location data. App-reported page views omit query strings; Google Analytics settings may affect other events. You can block these cookies in your browser or with Google's opt-out add-on. We do not show advertising on NiceFound.

7. How long we keep data

  • Account and profile data is kept while your account is active.
  • When an employer archives a candidate in their pipeline, the record is scheduled for purge after 30 days. Older records may have a different retention period.
  • Request logs are kept for 7 days by default; an administrator can change this period.
  • After you ask us to delete your account we delete or anonymise your personal data, except records we must keep by law, such as invoices.

8. Your choices and rights

You can edit your profile, change who can see it, and turn job alerts and other emails off from your settings or the unsubscribe link in an email. You can ask us to give you a copy of your data, correct it, or delete your account and data by writing to support@nicefound.com. We will reply within the time the law requires. Depending on where you live you may also have the right to object to or restrict some processing, and to complain to your local data protection authority.

9. Security

We use encrypted connections, hashed passwords, access controls, and scanning of uploaded files. No system is completely secure, so please use a strong, unique password and tell us straight away if you suspect your account has been accessed by someone else.

10. International use

NiceFound is used by people in many countries. Your information may be processed on servers or by providers located outside your country.

11. Children

NiceFound is not intended for anyone under 16, and we do not knowingly collect their information. If you believe a child has given us information, contact us and we will delete it.

12. Changes to this policy

If we make a material change we will update the date above and, where appropriate, notify you by email or in the product.
